Your people’s data, protected and in your control
TeamBase holds salaries, bank details, medical notes and disciplinary records. We built access control, logging and privacy into the product from the start, for IT teams and leadership who need to know who can see what.
Roles and scopes
Every user has a role, such as employee, line manager, site HR, payroll or administrator, and a scope: the companies, sites and departments they cover. A site HR officer in Kano cannot open a record in Lagos. Salary details are visible only to the roles you choose.
Audit log
TeamBase records who viewed or changed what, when, and the value before and after. Payroll runs, approvals and changes to access are all logged, and the log cannot be edited.
Two-step sign-in
Users confirm sign-in with a code from their phone as well as their password. You can require it for everyone, or for the roles that see pay and personal data.
Single sign-on
Staff sign in with the work accounts they already use, so access ends the moment their work account is closed.
Encryption
Data is encrypted in transit between the browser and TeamBase, and encrypted at rest where it is stored. Backups are encrypted too.
Approvals and history
Sensitive changes, such as bank details and pay, go through approval before they take effect. Every change is kept and dated, so you can see what a record looked like on any day.

As an employer you are responsible for your employees’ personal data. TeamBase gives you the tools to handle it lawfully and to prove it.
- Employees can ask to see, correct or delete their data, and HR handles each request with a dated record
- Policies and privacy notices that employees acknowledge, with a record of who has
- Access limited to the people who need it, by role and site
- Retention settings so old records of leavers are removed when they should be

- If you leave, we hand back your data and then delete it
