TeamBase is a product of ClickSixty Technologies. This policy explains how ClickSixty Technologies (“we”, “us”) collects and uses personal data when you visit teambase.com.ng, ask for a demo or contact us. It also explains our role when our customers store their employees’ data in the TeamBase app.
We handle personal data in line with the Nigeria Data Protection Act 2023 (NDPA) and the regulations and guidance of the Nigeria Data Protection Commission (NDPC).
In short
- We collect what you give us in our demo form, chat and messages, plus basic technical information about your visit.
- We use it to arrange demos, answer questions, run and protect this website, and look after our customers.
- We do not sell personal data, and we do not send marketing emails unless you have agreed to receive them.
- You can ask to see, correct or delete your data at any time by emailing info@teambase.com.ng.
Who we are
TeamBase is provided by ClickSixty Technologies, a company registered in Nigeria with RC number [RC 0000000], whose office is at 22 Lamona Street, Ijegun, Lagos, Nigeria. You can find out more about the company at clicksixtytechnologies.com.
For anything about personal data, contact our data protection officer at info@teambase.com.ng or write to us at the address above. Please put “Data protection” in the subject line.
Our two roles
On this website, and for our own sales and customer relationships, we are the data controller. We decide why and how this data is used, and this policy covers it in full.
In the TeamBase app, our customer is the data controller for its employees’ data. An employer that uses TeamBase decides what it records about its staff: personal details, attendance, leave, pay, performance and so on. We process that data only on the employer’s instructions, under a data processing agreement with each customer.
If you are an employee of one of our customers, your employer’s privacy notice explains how your data is used. Please send requests about that data to your employer’s HR team first. If you contact us instead, we will pass your request to your employer and help them answer it.
What we collect and why
| Where it comes from | What we collect | Why we use it | Lawful basis |
|---|---|---|---|
| Book a demo form | Name, job title, organisation, work email, phone number, number of employees, number of locations, what you want to solve first, and your message | To arrange and give your demo, prepare a proposal and follow up | Steps you ask us to take before a possible contract, and our legitimate interest in responding to business enquiries |
| Sent with a demo request | The page you were on, the website that referred you, any campaign tags in the link you followed (such as utm_source), your IP address and your browser type | To prevent spam and abuse, limit repeated requests and understand which campaigns bring enquiries | Legitimate interests |
| Chat, WhatsApp, email and phone | What you tell us and your contact details | To answer your questions | Legitimate interests |
| Website visits | Pages visited, device and browser type, approximate country and referring site, counted in aggregate | To understand how the site is used and improve it | Legitimate interests |
| Server and security logs | IP address, date and time, page requested and browser type | To keep the website secure and working | Legitimate interests |
| Customer accounts | Names, roles and contact details of customer administrators, and billing contacts | To provide the TeamBase service under our contract and send invoices | Contract |
Where we rely on legitimate interests, we have weighed them against your rights. You can object at any time (see Your rights below).
Please do not send us sensitive information, such as health details or national ID numbers, through our demo form, chat or messages. We do not need it to arrange a demo.
Marketing
We contact people who ask for a demo or write to us about that request. We send newsletters or product updates only if you have agreed to receive them, and every such email has a link to stop them. Our forms never come with a pre-ticked marketing box.
Who we share it with
We share personal data only where we need to, and never sell it.
- Service providers who work for us under written contracts and only on our instructions: website hosting and security, email delivery, our website chat (Zenvorai), website analytics, and our customer relationship and sales tools. We can tell you which providers we currently use; just ask.
- Professional advisers, such as lawyers, auditors and insurers, under a duty of confidentiality.
- Authorities, such as regulators, courts and law enforcement, where the law requires it.
- A buyer or investor, if TeamBase or part of it is sold or reorganised. They would have to protect your data as this policy describes.
Transfers outside Nigeria
Some of our service providers store or process data outside Nigeria, for example in the European Union or the United States. We transfer personal data abroad only where the NDPA allows it. That means the receiving country gives adequate protection, or we put safeguards in place such as contractual clauses that bind the provider to NDPA-level protection.
How long we keep it
| Data | How long |
|---|---|
| Demo requests and sales conversations that do not lead to a contract | 24 months after our last contact, then deleted |
| Emails, chat and WhatsApp conversations | 24 months after the conversation ends |
| Customer account and billing records | For the contract, then as long as tax and company law require (generally six years) |
| Server and security logs | Up to 30 days, unless needed to investigate an incident |
| Website analytics | Kept only in aggregate, without identifying you |
Data that our customers store in the TeamBase app is kept for as long as each customer instructs. When a contract ends, we return or delete it as the data processing agreement sets out.
How we protect it
Data sent to and from this website is encrypted (HTTPS). Access to personal data is limited to the people at TeamBase who need it, and our service providers must protect it too. If a personal data breach is likely to put your rights at risk, we will notify the NDPC within 72 hours of becoming aware of it. We will also tell you without delay if the risk to you is high.
Your rights
Under the NDPA you have the right to:
- be told how your data is used, as this policy does;
- get a copy of the personal data we hold about you;
- have inaccurate or incomplete data corrected;
- have your data deleted when we no longer need it or have no lawful basis to keep it;
- restrict how we use your data while a concern is looked into;
- object to our use of your data based on legitimate interests, and to direct marketing at any time;
- receive data you gave us in a common, machine-readable format, or have it sent to another organisation;
- withdraw your consent where we rely on it, without affecting what we did before;
- not be subject to decisions based solely on automated processing that have legal or similarly significant effects on you. We do not make such decisions on this website.
To use any of these rights, email info@teambase.com.ng with “Data protection” in the subject line. We may ask you to confirm your identity. We will reply within one month, and there is no charge.
If you are unhappy with how we handle your data, please tell us first so we can put it right. You can also complain to the Nigeria Data Protection Commission at ndpc.gov.ng.
